Code of Conduct for USAHA and AAVLD Meetings

USAHA and AAVLD are committed to providing a safe, productive, and welcoming environment for all meeting participants and organization staff. USAHA and AAVLD have zero tolerance for any form of discrimination or harassment, including, but not limited to, sexual harassment and verbal or physical abuse against attendees or our staff. All participants, including but not limited to attendees, speakers, volunteers, exhibitors, organization staff members, service providers, and all others, are expected to abide by this Code of Conduct, which is incorporated into and made part of the meeting registration below. Cancellation Policy

Thank you for registering for the USAHA/AAVLD Annual Meeting. Refund/Cancellation Policy: Registrants of the USAHA/AAVLD Annual Meeting may cancel their registration by notifying the USAHA office at [email protected]. All cancellations will incur a $75 fee, and the remaining paid funds will be refunded as shown below:

  • Before 30 days of the start of the meeting (September 15, 2026) – 100% refund
  • Before two weeks (14 days) of the start of the meeting (October 1) – 50% refund
  • Within 14 days (After October 1) – No refund

NOTE:  Deadlines are Midnight (Pacific Standard Time) of stated deadlines September 15, 2026 / October 1, 2026) prior to the start of the meeting. Funds not refunded are used to pay unrecoverable meeting venue and meal expenses. USAHA and AAVLD reserve the right to make exceptions for justified extenuating circumstances on request.
– Neither USAHA nor AAVLD holds any responsibility for cancellation fees associated with lodging, travel, or other expenses to the individual registrant. Your registration is not complete until full payment is received. If payment is not received by [September 30, 2026] your registration will be cancelled, and you will need to re-register on-site at the increased fee schedule.
– TRANSFERS Registrations may be transferred from member to member with written advance notification.
Personal Information USAHA collects information for use in direct purposes of membership and/or annual meeting for communication, information and data management. USAHA does not sell or share member or registrant information with third parties.

Notice:  AAVLD registrant business information (mailing address and email) will be shared with meeting vendors and sponsors to facilitate communication and the issuance of meeting invitations.
