Instructions for Submitting POSTER Presentation Recordings

     AAVLD Meeting Reminder: Deadline of 10/9/2025

Dear all:

As we look forward with excitement to our upcoming AAVLD meeting in October, I want to remind all award applicants that the deadline is OCTOBER 9TH for uploading your PDF Poster. Following is the folder to be used when uploading your PDF Poster Presentation.

NOTE: Only those applying for awards need to upload their poster. 

On-Site Presentation Instructions:

1.  All presenters who received or are competing for an award are required to upload their complete poster as a PDF by October 9th, 2025, 11:59 pm PST (Hard deadline) to the following link. If you did not receive an award and would like to upload your presentation for the AAVLD library, please upload it here:

-       If your poster is not submitted as a PDF, it will not be accepted.

-       Please use the following file naming convention: Seven-digit Abstract ID_Your last name. Example: 36233080_Saliki.PDF.

2. Please include an email address on your poster (directly in the text or, if printed already, on a sticky note) to which questions about your poster from competition judges and meeting attendees may be directed. Posters will eventually be archived in the AAVLD CE library and available to all AAVLD members.

3. On-site poster set-up is on Friday, October 31^st, 2025, from 1:00 PM-8:00 PM and Saturday, November 1^st, 2025, from 7:00 AM-9:00 AM in Colorado Ballroom B-D at the Gaylord Rockies Resort and Convention Center.

4. The maximum poster size is 48” x 48” (122 cm x 122 cm). Please adhere to these measurements to be fair to the other presenters sharing your poster board.

5. You are asked to stand by your poster during the poster presentation sessions on November 1^st, 2025, from 3:00 PM to 4:00 PM, and on November 2^nd, 2025, from 9:30 AM to 10:30 AM to answer questions from on-site attendees.

6. Poster removal will begin on Sunday, November 2^nd, 2025, from 12:00 PM to 2:00 PM. Any posters not removed during this time will be taken to the Registration Desk for pickup. Any posters/poster holders not picked up by noon on Tuesday, November 4^th, 2025, will be discarded. If the poster and poster holder are forgotten, they will not be mailed to presenters.
